[Hartwood] Meeting Minutes

Hellooo Hartwood....

Here's what I have from yesterday's meeting.  They may change slightly as I 
go through written reports, spelling etc.  I figured I should get them out 
ASAP to give time for nominations (if we are doing that?) and applications 
for officer positions to be submitted.  I'm sure any mistakes will be 
pointed out to me quickly.

Attendance: Elizabeth, Cecille, Joye, Aline, John, Miranda, Aleyn, Anicia, 
Elspeth, Mikael, Scathach, Symonne, Halima, and Marina


Meeting Opens: 11:27 am

Officer Reports:

Exchequer: $3056.82 allow us to cover the costs of the building for last 
TUTR. Halima requests long term planning.

Chatelaine: (Written submitted)
Extend Newcomers definition to under 2 years in SCA
Demo in Hartwood South – Victoria Day possible (conflict with May 
Crown -Variance needed? - Elspeth will check into it)
Scored big on curtains and sheets to make Gold Key. Storage needed for 
fabric in each area of Hartwood so it can be sewn.  Acquired other stuff for 
prizes etc
Year budget submitted and approved.

Chronicler : Have decided need for release forms for all pictures and 
articles has pretty much ended any submissions to newsletter.  From now on 
newsletter will be mostly minutes and event copy.  Would like to do an 
informal group magazine a couple times a year that won't require as much 
paperwork.     Scathach has agreed to become Deputy Webminster

A&S: (Written submitted)
Guild links and A&S meetings missing from website
Skype Workshop on hold
6 Charters completed
3 single A&S entries from Hartwood – Halima (highest marks in A&S), Aleyn 
and Kjartan (all well received) and 8 attended
Cunegunda completed Junior and Senior Embellisher's Guild challenges at 
White Court
Banners work well underway

Herald : Anicia's name and device passed

MoS: 8 fighters meeting but they need to be authorized – may need to go 
south, possibly at the Pas

Children's Activities: White Court success – lots of cookies decorated – 
Colouring sheets used a lot by
children of all ages
North Hartwood –  Experimented with turning half oyster shells into painting 
pallets – will work for largess
Activity ideas for upcoming events in Hartwood – contact her in time to 
organize

Seneschal – Will be resigning due to stress in personal life – We need to 
find and elect new Seneschal – suggesting election in a couple of months. 
Calling for applications for the position.


Old Business

1. Events Paper work : Armada at Camp Gillwell – Aug 3-5 2012 – Naval 
Theme – Written report - budget passed

2. Black Knight -Bavarian Centre – Oct 13th West Hartwood – Paperwork – 
passed

3. White Court – December 1st – Event Steward – Scathach – book halls now 
for – date passed and booking hall -

4. TUTR – Kjartan Event Steward – Navy League Hall April 14/15 – Heraldic 
Symposium – Need Liaison for billeting – Symonne

5. Heritage Fair Demo -Feb 18th Cumberland Buchanan Hall - 3 tables for 
display and demo on stage for 1/2 hour 11 to 11:30; need  ideas (Elspeth 
posted some ideas on line); 10 min dance 10 min fashion show and 10 minutes 
fighters ; Aleyn  will play music; Static display – Marina will bring inkle 
and let people play;  Dori will bring laptop with presentation; Take photos 
in garb (to be e-mailed) by Elspeth (donation?) Need garb – easy to put on 
kids and adult garb;  Chain Mail Armour – Marina- need stand; Bobbin lace 
pillow – Cecille;  Elspbeth has small cut down pavilion we can use.



New Business:

1. Accepting applications for Seneschal,  Chief Archer, Rapier  –  Send in 
by next meeting – voted on at next quarterly meeting.

2. New regulations for alcohol in BC – Must have special event permit ( 
private or public event since we are non-profit ) must be taken into account 
when serving alcohol – Need to look into regulations when serving wine at 
meals – Scathach wrote to liquor board – if want more info contact her.

Meetings:  Next will be Skype – need to upgrade to latest version to skype

Next online council Feb 26th  (applications for offices need to be 
submitted)

Quarterly  April 15th  (need to vote on new officers) at TUTR
